Solution for Blank Emails

by windshell

H-Desk.com Forum Index -> Microsoft Software -> Windows Vista

You’ve probably received blank mails in your Inbox either you’re using Outlook or any other email client. This article explains possible reasons and solution how to fix it.

Usually, this occurs when spam mail is about to be delivered to your inbox or due to some security or message integrity reasons.

Here are the possible reasons for blank emails in your inbox:

Due to Permanent Failure

A permanent failure is often a reason for many failures in delivery including blank emails. Permanent failure is not likely to be resolved by resending the message in the current form.  Usually, some change to the message or the destination must be made for successful delivery.

Due to Security or Policy Status

Here are the security and policy reasons with the appropriate codes.

550 5.7.0   Other or undefined security status

Something related to security caused the message to be returned, and the problem cannot be well expressed with any of the other provided detail codes.  This status code may also be used when the condition cannot be further described because of security policies in force.

550 5.7.1   Delivery not authorized, message refused

The sender is not authorized to send to the destination. This can be the result of per-host or per-recipient filtering.  This memo does not discuss the merits of any such filtering, but provides a mechanism to report such. This is useful only as a permanent error.

550 5.7.7   Message integrity failure

A transport system otherwise authorized to validate a message was unable to do so because the message was corrupted or altered.  This may be useful as a permanent, transient persistent or successful delivery code.

Where 550 means "Requested action not taken: mailbox unavailable"

Also, blank mails can be result of spammer’s attempt to get to your computer, data, etc. When a spammer is interrogating your Exchange Server, empty emails may be generated as a result. You don’t need them in your inbox, but you may find hard to remove them.

Here are the tips.

How to delete an email that has an empty subject or body?

To delete these emails:

Define a rule to handle messages containing no subject:

  1. On the Spam Manager tab in the Subject Filtering section, click Rules
  2. Click Add
  3. In the Subject field, type: =^$
  4. In the Action list, select Delete Message
  5. In the Direction section, select Inbound and Outbound (inbound and outbound through the SMTP/IMS), and/or Private and Public (internal from mailbox to mailbox)
  6. Enable Active
  7. Click Ok
  8. Click Apply

Define a rule to handle messages containing no message body:

  1. On the Content Manager tab in the Message Text Filtering section, click Rules
  2. Click Add
  3. In the Message Body field, type: <empty>
  4. In the Action list, select Delete Message
  5. In the Direction section, select Inbound and Outbound (inbound and outbound through the SMTP/IMS), and/or Private and Public (internal from mailbox to mailbox)
  6. Enable Active
  7. Click Ok
  8. Click Apply

Sometimes your antivirus software deletes content from suspicious email you receive. This happens when the AV notification of incoming mails is disabled and AV is performing ‘silent’ cleaning.
To solve this, just check the properties of you antivirus program and enable notifications on incoming suspicious files.
